Appointments & Personal Training

For: Owners & Managers

Personal training and other one-on-one sessions work alongside your group classes. You enable the trainers who take appointments, they publish the hours they're available, and members with the right membership book an open time themselves — no back-and-forth at the front desk.

Key Concepts

Concept Description
Appointment service A one-on-one service members can book — for example a 60-minute personal-training session. You create it like a class, but its Type is Personal training (1:1).
Provider A team member who takes appointments — your "trainer." Any owner, manager, front-desk staffer, or instructor can be turned on as a provider; you pick who.
Availability The recurring weekly hours a provider is open for bookings, at a specific location. Members can only book inside these hours.
Personal-training allowance What a membership plan grants toward 1:1 sessions — included in a plan (e.g. 4 a month) or sold as a separate add-on. A member with no allowance can't book.
Buffer Optional gap time reserved before or after each appointment (for setup or turnover), so back-to-back slots don't crowd a provider.

How it works

  1. Turn on your providers — flag the team members who take appointments.
  2. Create an appointment service — a personal-training service with a length and any buffer time.
  3. Publish availability — each provider's weekly hours at a location.
  4. Members book themselves — they pick the service, a trainer, and an open time. A session is created only when they book, so your calendar and reports stay clean.

Where to find it

  • Appointments: Scheduling → Appointments in the back-office sidebar — enable providers and manage their availability.
  • Services: Scheduling → Classes — create a personal-training service with the Personal training (1:1) type.
  • Allowances: Members → Plans — turn on the Personal training allowance on a plan.
