The check-in grace window
For: Owners & Managers
The grace window controls how early and how late a check-in still counts toward a booked class. It's what lets a member scan in a few minutes before class starts — or just after it ends — and still have their booking marked attended automatically.
Prerequisites & permissions
You need owner or manager access to change organization defaults.
Setting the grace window
- Go to Settings → Organization.
- Find the Check-in grace window card.
- Set the two values and save:
| Field | Default | What it controls |
|---|---|---|
| Before start (min) | 60 | How early a member can check in and still be matched to an upcoming class. |
| After end (min) | 30 | How late after a class ends a member can check in and still be matched. |
These are your organization-wide defaults; individual locations can override them.
How matching works
When a member checks in, ClassLift looks for a class they booked at that location whose window covers the check-in time. If it finds one, the booking is marked attended. If not, the arrival is recorded as a facility visit instead.
Example: A class starts at 9:00 AM with the defaults (60 before, 30 after — the window covers the class plus a margin). A member who scans in at 8:15 AM is matched to the 9:00 class. So is a member who scans in a few minutes after it ends. A member who arrives long after the window closes is recorded as a facility visit instead.
If a member holds back-to-back bookings, ClassLift matches the check-in to the class starting nearest to that time.
Tips
- Start with the defaults. 60 minutes before and 30 after suit most studios.
- Tighten the "after" window for back-to-back classes. If your classes run one right after another with quick transitions, a shorter "after" value avoids matching a late arrival to the class that just finished.
- Give early birds room. If members habitually arrive well before class, keep the "before" window generous so their early scan still counts.
