Real-world scheduling setups for different kinds of studios, showing how classes, schedules, and sessions fit together.

1. A yoga studio's weekly timetable

Situation: A boutique yoga studio runs the same handful of classes every week and wants them to appear on the calendar without rebuilding them each time.

Setup steps:

  1. Create each class on Classes with its capacity and waitlist.
  2. Open each class's Schedules, choose the weekdays and time, and Add schedule (open-ended).
  3. Sessions generate for the next 60 days and refresh on a rolling basis — the calendar stays full with no weekly upkeep.

2. A CrossFit box with a covering coach

Situation: A CrossFit box has a coach out sick on Thursday and needs another to cover the 5:30 PM and 6:30 PM WODs.

Setup steps:

  1. On the Calendar, open the 5:30 PM session and click Request substitute — the block shows a SUB marker.
  2. A manager opens the session and sets the covering coach under Instructor.
  3. Repeat for the 6:30 PM session, or use Select to reassign both at once.

3. A dance studio adding a one-off workshop

Situation: A dance studio is hosting a single Saturday guest workshop — not a recurring class.

Setup steps:

  1. On the Calendar, click the Saturday slot to open New session (leave Repeat weekly off).
  2. Pick the class, set the time, instructor, and a higher Capacity for the guest.
  3. Click Create — the one-off session appears without touching the regular weekly schedule.

4. A multi-location gym duplicating a week

Situation: A gym runs an identical timetable most weeks and wants next week set up in seconds.

Setup steps:

  1. On the Calendar in Week view, confirm this week is how you want it.
  2. Click Duplicate week — every session copies to next week (anything already there is skipped).
  3. Tweak the exceptions (a holiday closure, a covering instructor) individually.

Tips for all studios

  • Set capacity and waitlist on the class so every session inherits them; override a single session only when you need to.
  • Retire a class you've stopped offering instead of deleting it — history and past sessions stay intact.
