1. Enrolling a new member at a yoga studio
Situation: A walk-in wants to start on your Unlimited Monthly plan.
Setup steps:
- In the Directory, click Invite member, enter their Email, and choose Unlimited Monthly.
- Click Send invitation — they get a link to confirm their details and sign your waiver.
- Once they accept and sign, they appear as Active with a renewal date.
2. A member going travelling
Situation: A regular is away for two months and doesn't want to pay while they're gone.
Setup steps:
- Open the member's profile → Overview → Freeze membership.
- Billing pauses and access is withdrawn — their history stays intact.
- When they're back, use Reactivate membership.
3. A family with two kids at a dance studio
Situation: A parent on a family plan is enrolling both children.
Setup steps:
- Click Add dependent, choose the parent as Guardian, and enter the first child's name, date of birth, and Relationship.
- Set Guardian permission to Manage (book, check-in, sign) and, if you use one, seat them in the family's group.
- Repeat for the second child. The parent signs the waivers to activate both, then books and checks them in from their app.
4. Building a win-back list
Situation: You want to group members who haven't visited recently so you can follow up.
Setup steps:
- On each member's profile, open Tags and add a tag like at-risk.
- Later, filter or act on that group — tags pair with the directory and with automations.
- Reach out, then remove the tag once they're back.
Tips for all studios
- Prefer Freeze over Cancel when a member is likely to return — it keeps their history and price.
- Keep internal context on the Notes tab; it's never visible to the member.
