For: Owners, Managers & Front-desk Staff
These real-world scenarios show how different studios set up and run check-in. Use them as starting points and adjust to fit your space.
1. Busy boutique studio — front-desk scanning during a class rush
Situation: A cycling studio runs back-to-back classes. Twenty riders arrive in the ten minutes before each class and the front desk needs to move fast.
Setup:
| Choice | Value |
|---|---|
| Check-in method | Front-desk Scan (QR) |
| Grace window | 60 min before / 30 min after (defaults) |
| Barcode reader | Optional USB scanner at the desk |
How it works:
- Riders open their check-in code as they walk up; the staffer scans each one from the Check in a member dialog.
- Each scan instantly matches the rider's booking and marks it attended, so the roster fills in without anyone searching for names.
- A rider whose code won't scan is handled on the Search tab by name — no line forms.
2. Self-service lobby — kiosk at the entrance
Situation: A 24/7 gym wants members to check themselves in without staffing the desk at all hours.
Setup:
| Choice | Value |
|---|---|
| Check-in method | Kiosk on a wall-mounted tablet |
| Fallback | Name search on the kiosk |
| Exit protection | Staff PIN to leave kiosk mode |
How it works:
- A tablet at the entrance runs the kiosk. Members scan their QR code and see a You're checked in! confirmation.
- Members without their phone tap Can't scan? Search your name and pick themselves from the list.
- Staff exit the locked kiosk with their PIN when they need the tablet for something else. See Kiosk mode.
3. Multi-location studio — checking in at the right site
Situation: A yoga studio has a Downtown and a Midtown location and wants every visit recorded at the correct site.
Setup:
| Choice | Value |
|---|---|
| Locations | Downtown, Midtown |
| Front-desk context | Checking in at set per desk |
How it works:
- Each front desk confirms Checking in at shows its own location before scanning, so a member's visit is always logged where they actually are.
- Attendance and no-show numbers stay clean per location, which makes the cross-location comparison in Reports meaningful.
4. Family fitness center — parent and child in one scan
Situation: A family gym has parents who bring young children to the kids' program. The children have no phone and no login.
Setup:
| Choice | Value |
|---|---|
| Membership | Family plan with the parent as guardian |
| Check-in | Guardian scans their own QR |
How it works:
- The parent scans their QR at the desk or kiosk. ClassLift shows Who's checking in? with the parent and each child.
- The parent leaves everyone who's present selected and confirms — mother and daughter check in together from one scan.
- The child's attendance is recorded without them ever needing a device or account.
Tips for all studios
- Lead with scanning; keep search as the safety net. Scanning is fast and certain; name search covers the member who left their phone in the car.
- Match your grace window to your class flow. Quick back-to-back classes benefit from a shorter "after" window so late arrivals don't attach to the wrong class.
- Let ClassLift match bookings. Never hunt for a member's booking first — check them in and the booking is marked attended automatically.
