Real-world point-of-sale setups for different studios.
1. A yoga studio selling retail
Situation: A yoga studio sells water bottles, mats, and branded tees at the front desk.
Setup steps:
- Under Products, add each item as Retail with a price, and turn on Track inventory for the physical stock.
- Give the tee Variants — Small, Medium, Large — with the same base price.
- Open each item's ⋯ → Manage stock and set the In stock count for each location (and, for the tee, each size).
- At the Point of Sale, pick your studio in the top bar, tap the items into the cart, and take Cash or Card (reader) — the sale draws down that studio's stock.
2. A CrossFit box selling a drop-in
Situation: A visitor wants a single class without a membership.
Setup steps:
- Add a Drop-in product (e.g. Drop-in Class, $20) — leave inventory off.
- At the till, add it to the cart, optionally attach the visitor under Member, and take Card (reader).
- The sale shows Charged $20.00 and lands in Transactions.
3. Charging a member's card on file
Situation: A regular wants to buy a smoothie and pay on the card they already have saved.
Setup steps:
- Add the smoothie to the cart and choose Card on file.
- Search and select the Member (required for card on file).
- Tap Confirm — Stripe charges their saved card and the sale shows Charged.
4. Reconciling the day and refunding
Situation: At close, you reconcile takings and refund a returned item.
Setup steps:
- Pick the studio in the top bar, open Transactions → Daily takings, choose today's Date, and check Processed by Stripe against that location's payout — the day runs on the location's timezone.
- Find the returned sale, open it, and click Refund → Full, add a Reason, and turn on Return items to stock if the goods came back — then Refund it.
- For a cash sale, hand back the cash and record the refund so the ledger matches.
Tips for all studios
- Keep the catalog tidy: Retire products you no longer sell rather than deleting them, so past sales stay intact.
- Use Card on file for members and Card (reader) for walk-ins to keep everything settled through Stripe and refundable.
