Scheduling
For: Owners, Managers, Front-desk Staff & Instructors
Scheduling is where you build your timetable: you define the classes you offer, set the recurring schedules that put them on the calendar, and manage each session — who's booked, who's on the waitlist, and who showed up. It's about running the timetable, not the workout content.
Key Concepts
| Concept | Description |
|---|---|
| Class | A type of class you offer — its name, default length, capacity, and location (for example, Vinyasa Yoga, 60 min, cap 20). You create these on the Classes page. |
| Recurring schedule | A repeating pattern (say, "every Mon & Wed at 6:00 PM") that automatically generates bookable sessions on a rolling horizon. |
| Session | A single class on the calendar at a specific date and time — the thing members book and check in to. Also called an occurrence. |
| Roster | The list of members booked into a session, plus the waitlist, shown when you open a session on the calendar. |
| Capacity & waitlist | How many members can book a session, and how many can wait in line for a spot to open. |
| Substitute | A stand-in instructor. An instructor can request a substitute; an owner or manager assigns one. |
How it works
- Create a class on the Classes page — its name, location, length, capacity, and waitlist.
- Add a recurring schedule (or drop a one-off session on the calendar). ClassLift generates the individual sessions automatically.
- Members book the sessions from their app; the roster and waitlist update in real time.
- On the day, open a session to check members in, promote from the waitlist, or handle no-shows.
- Attendance flows into your reports — no separate step.
Where to find it
- Calendar (Scheduling → Calendar): your timetable, where you view and manage every session. Everyone on staff can open it.
- Classes (Scheduling → Classes): create and manage class types and their recurring schedules. Owners, managers, and front-desk staff.
- My classes (Scheduling → My classes): an instructor's own upcoming and past classes with attendance.
- On your phone: owners and managers can add a session or a recurring schedule, and edit or cancel a session, from the Schedule tab of the ClassLift app — see The ClassLift app on your phone.
